Complete/Close Options for Multiple Records

If the work order you are attempting to change is a member of an established group, or if you have accessed the Work Order Complete/Close window on behalf of a group of records, the appearance and behavior of the window will be different. The following differences can be observed:

  • The dates the work orders were requested and issued are not displayed in the status history area, as they may not be the same.

  • A Labor Report control to determine how the labor report should be applied to the group of records is available. See description below.

  • Individual Assignments are not shown. In their place, a Set All Assignments Completed check box is displayed.

  • The meter reading section does not display and the downtime section only allows you to return equipment to service.

  • The Percent Complete control does not display.

The following sections describe aspects of the Complete/Close window that behave or appear differently when operating against a group.

ClosedHeader/Title

The header/title displays as described below:

  • If you are accessing this page from a Master Record of an established Group, the Group Name and ID is displayed instead of the Work Order ID.

  • If you are accessing this page from a work order that is a member of a group, but you have not accessed from the Group page, the Work Order ID of the individual work order displays until you designate that all work orders in the group should be affected. The title will then change to indicate the Group Name and ID.

  • If you have selected a group of records to act upon from the Expanded List or Group page, the header displays the text Complete/Close Work Orders instead of listing an individual work order ID.

ClosedAll Work Orders in Group Control

If you have accessed this record from a single record that is associated with a group, a check box used to indicate whether or not the change should affect all work orders in the group is displayed in the upper-left.

To have the changes pushed to all work orders in the group, ensure this check box is selected.

If you are working with a group of records and have accessed this feature from the Expanded List or Group page, it is presumed that all work orders in the group will be affected, so the check box is not displayed.

ClosedStatus and Labor Report Controls

If you are operating on a group of records, a control will appear below the labor report to indicate whether or not the comments added should overwrite existing labor reports or be appended to them.

Click the appropriate option button to indicate how the comments you enter should be handled:

  • Append: Click Append if you want the comments you enter added to the labor reports of each work order.

  • Overwrite: Click Overwrite if you want the comments you enter to overwrite the existing comments in each work order.

  • Do Nothing: The Do Nothing option allows you to apply Labor Report content only to work orders in the group without current contents in their Labor Report. If the work order already has a Labor Report, the system will do nothing and not replace the contents. If the work order does not have any content in its labor report, the contents entered in the window are added.

Similarly, the Status Section has controls to determine if any current values stored should be overwritten.

ClosedSplit Labor Hours Check Box

If the Actual Labor section has been configured to appear, a Split Labor Hours check box displays in the Actual Labor area. Depending on the setting at your organization, this check box may be selected by default when the Complete/Close window is opened.

If this check box is selected, any hours entered will be split between all work orders in the group. For example, if there are 4 work orders in the group and 2 actual labor hours are added, each work order will receive 5 hours.

If the check box is not selected, any hours entered will be applied to EACH work order in the group. For example, if 2 actual labor hours are added, each of the four work orders in the group would receive 2 actual labor hours.
